Shipping Guidelines


All delegates and event partners are reminded that the Philippines’ is not a free port country and customs duties and taxes will be charged where applicable. As such, certain customs duties and liabilities will be levied beyond those allowed by law. It is recommended to secure all necessary documents and clearances for whatever item you intend to bring into the Philippines prior to your arrival at the ACC. Please get in touch with the event organizers for more details.

Customs, On-Site-Handling & Transport Services

To receive all necessary information/conditions on transportation, customs, handling, paperwork and other related matters, we kindly ask you to get in touch with our partner and nominated official On-Site-Exhibition Freight Forwarder for all questions regarding transport to and from fairground, on-site-handling and customs procedure:

Shipping Guideline

Section 1: General Principles

  1. ACC recommends Global Carrier Phils., Inc. (hereinafter referred to as the recommended Transporter) to provide exhibitors and event partners with services such as transportation of overseas exhibits, customs clearance, quarantine and inspection, portage and storage of exhibits and items for the ACC. The ACC 2013 event organizer entrusts Global Carrier Phils., Inc. to manage the portage works in the exhibition hall and it shall be entitled to supervise and punish the breaching portages.
  2. The exhibitor can also choose to use his own trusted transporters (hereinafter referred to as the Trusted Transporter) for transportation of exhibits, customs clearance, application for entry and exit, quarantine and inspection, and the related services.
  3. Any stipulations or arrangements between the exhibitor and transporter shall be mere agreement of both parties. The ACC event organizer will not be responsible for any unexpected consequences or disputes such as damages to the exhibits and the like. Such cases shall be subject to legal procedures by both parties.

Section 3: Time Schedule and Relevant Deadlines

Notes: Please refer to the information below as your guide for the Bill of Lading, Invoice Packing list entries and reference data for the Recommended Transporter.

  2. Arrival date of relevant documents (including Ocean bills of lading, Airway bill, invoice, packing list and other shipping documents) must be at Global Carrier Phils.,Inc. office at least a week before the cargo arrives Mactan Cebu International Airport (MCIA) or Cebu International Port (CIP).
  3. Make sure your cargo arrives at MCIA / CIP on or before August  20, 2013 to give ample time for GLOBAL CARRIER PHILS.,INC. for customs clearing and deliver the cargo at Shangri-la Hotel a day before the ingress schedule.
  4. The above time schedule and relevant deadlines for documents, information and exhibits must be rigidly observed and the Recommended Transporter will not be responsible for any consequences due to the late arrival thereof.
  5. For Less Than Container Load (LCL) shipment, exhibitors have to bear the risk that the Shipping Line/Port operator may not devan your container and sort it out within short period (sometimes may be more than 4 weeks) which may endanger the Recommended Transporter’s on-time pick up/delivery to the exhibition. The Recommended Transporter’s set deadline means that transportation should arrive at the designated air/sea port before the designated date and the cargoes should been got ready for pick-up for delivery at any time.
  6. For overseas shipments, exhibitors could also consult the Recommended Transporter’s agents in your area for the collection of your exhibits.

Section 4: Documents

The shipper/exhibitor is required to submit the following documents for timely customs clearance.
  1. Document name ( English ) Remarks
  2. Original Bill of Lading(B/L)for ocean freight or 1 copy of AWB for airfreight
  3. Original copies of invoice and packing list
  4. Declaration for non-wood packing materials (original/copy) Shipment not consist of wooden packing materials
  5. Heat Treatment and/or MB fumigation certificate (original) for wood packing materials
  6. All non-manufactured wood packaging material to be used to carry, pack, pad and support, and reinforce the goods, such as wood case, crate, pallet, frame, pal, wood pole, wedge, sleeper and pad.

Section 5: Payment Terms

The event organizer shall be able to accept:

  2. For credit card payment: The organizer will place a VISA/MASTERCARD/AMEX terminal on the days of the Conference. We will get your card details for payment guarantee and swipe the card upon arrival. Please note that we shall be adding 3% bank service fee and 0.5% withholding tax, total of 3.5% of transaction added to the amount.
